TermS and Conditions
These Terms and Conditions Agreement govern all services provided by Beyond The Lens LLC to the Client. By booking, submitting a payment, or signing a contract, you acknowledge that you have read, understood and agreed to the terms below.
I. Services Provided
Beyond The Lens LLC provides luxury event design, decor set up, photography, videography, and related creative services. Service may include, but are not limited to:
Event decor and styling, pipe and drape installations, walk in magazine photo box, balloon installations, photoboards, backdrops, cold spark machines, candy carts, customized party favors, photography and videography.
Specific services, quantities, and inclusions are outlined in your selected package or invoice.
II. Booking & Reservation of Date
A signed contract and non-refundable retainer are required to secure your event date.
Your date is not reserved until both the contract and deposit are received.
Verbal agreements or inquiries do not guarantee availability.
III. Payment Terms
The retainer amount is non-refundable and applied toward the total balance.
Remaining balances must be paid in full 7 days prior to your event date provided on your invoice.
Failure to submit final payment on time will result in service cancellation without a refund.

IV. Non-Refundable Policy
All payments made to Beyond The Lens are non-refundable, including retainers and final payments. This includes, but is not limited to:
Client cancellation, Change of Mind, Weather Conditions, Event Delays or No-Shows
V. Event Cancellation or Rescheduling
If the client cancels, all payments are forfeited.
One reschedule may be allowed at Beyond The Lens LLC Discretion if requested at 14 days prior to the event and subject to availability.
Rescheduled events must occur within 90 days of the original date.
VI. Weather & Conditions
For outdoor events, the client assumes all risks related to the weather.
No refunds will be issued due to rain, wind, heat, or other natural conditions.
The client is responsible for securing a covered or indoor backup option if desired.
If weather conditions occur, Beyond The Lens LLC has the option to decline due to safety and protection of gear and equipment.
VII. Setup, Access & Event Conditions
The client is responsible for providing clear access to the setup location at the agreed time.
Delays caused by venue restrictions, guests, or lack of access are not the responsibility of Beyond The Lens LLC.
Setup and breakdown times are not included in the event window unless stated otherwise. All setup and breakdowns are scheduled for 2 hours for each.
VIII. Client Responsibilities
The client agrees to obtain venue approval for decor, installations, sparks and equipment.
The client should secure required permits or permissions.
The client should ensure power sources are available.
The client must supervise all minors and guests around decor and equipment.
IX. Damage, Liability & Security
The client is financially responsible for any damage, loss, or theft of Beyond The Lens LLC equipment caused by guests, vendors or venue staff.
A repair or replacement fee will be assessed as needed.
Beyond The Lens LLC is not responsible for injuries resulting from misuse of decor, props, or equipment.
X. Cold Spark Machine
Cold spark machines are non-flammable, but venue approval is required.
The client is responsible for notifying the venue in advance for usage of cold spark machine.
Beyond The Lens LLC is not liable for venue-imposed restrictions or last minute denial.
XI. Photography & Videography
Editing style, composition, and creative direction are at the discretion of Beyond The Lens LLC.
Raw files are not supplied to the client.
​Turnaround times vary based on the season and workload. The client will receive a date provided in their contract when photos and videos are scheduled to be released to the client.
XII. Image & Video Usage
Beyond The Lens LLC retains full copyright ownership of all images and videos produced.
Beyond The Lens LLC may use media for marketing, social media, website, and promotional purposes.
If the client wishes to opt out, written notice must be provided before the event.
XIII. Deliverables & Turnaround Time
Digital galleries and videos are delivered electronically.
Estimated turnaround times are not guaranteed and may vary during peak seasons.
The client can purchase sneak peak photos, or a rush order if they wish to have pictures before the scheduled date.
XIV. Creative Control
All design decisions, layouts, and styling are based on professional judgment and experience.
Exact replication of inspiration photos is not guaranteed.
XV. Force Majeure
Beyond The Lens is not liable for failure to perform services due to circumstances beyond reasonable control, including but not limited to:
Natural disasters
Government issues
Illness or emergency
Power outages or venue shutdowns
XVI. Limitation of Liability
Beyond The Lens LLC liability is limited to the amount paid by the client. Under no circumstances shall Beyond The Lens LLC be held liable for indirect, incidental, or consequential damages.
XVII. Governing Law
This agreement shall by governed and interpreted in accordance with the lsed of the state in which Beyond The Lens LLC is legally registered.
